Evernote. More than a notebook. Video

This article is not a sponsored publication. We received absolutely nothing from Evernote in exchange for this post and have never communicated with anyone. We have put this disclaimer below, we thought we would put it here because people missed it and stated that this recommendation was paid for. Again, we are simply users of the app ourselves who genuinely think others will find it useful. Scout's honor.

We don't talk much about specific modern productivity tools here at AoM. Typically, we are more interested in principles, skills, thinking, etc. We come across something so useful that we simply have to share it.

Description

Download Evernote Russian version application for your smartphone, tablet, computer and even Moleskine laptop. It's exactly what the name implies: an app that serves as a noteaker, PDA, pocket notepad, to-do list, etc. The beauty is that it automatically syncs across all devices and operating systems. Don't lose another note, piece of paper or notepad with important information. You'll also simplify your desk from the clutter of notes and folders into one digital storage space.

The app is roughly organized into notepads and notes. Just like in real life. You create a notebook for a specific topic/Topic and then fill it with notes. Besides synchronization between devices and operating systems, there are some features that make it really stand out:

  • Ability to share notes and entire notebooks with classmates, colleagues, family, etc.
  • There is a way to take and attach photos to a note directly from the application.
  • You can take and attach voice notes and audio to a note directly from the app.
  • Ability to attach files (spreadsheets, images, documents) to any note.
  • Scan text on a photo using optical character recognition technology.
  • Set reminders for yourself, for various tasks, goals and projects from the application.
  • Create checkboxes that serve as virtual tasks.
  • Automatic synchronization between all devices, which means you can access your notes even when offline. (This feature is somewhat limited in the free version.)

There is a premium version that offers a few bonuses, but the freebie offers all of the above. Download Evernote for Windows It's been around for almost five years now, and while the AoM team has dabbled with the app before, Brett and I have finally become full-blown evangelists for it. We should say up front that this is not a sponsored post; we have no affiliation with Evernote. We just really love the app and we think every person can benefit from using it.

We don't go into the specifics of how to set up or how to use its core features in this post. For this, we highly recommend the book Evernote-Essentials by Brett Kelly.

Using the ideas below will make you a more productive person. And please add your own ideas on how to use in the comments!

Search in Evernote

Evernote's search capabilities approach those of a search engine.

In this guide, I will only list the most basic techniques, but even these can be more than enough when using Evernote.

Evernote is searchable by title, content, notebook names, and tags. And also by the text that was found on the uploaded photos (but not all the text will be detected - sad, but true).

If during the search process you don’t remember exactly what you are looking for (and this happens, yes), then you can replace part of the request with an asterisk.

But there is a limitation: the asterisk must be at the end of the request. When searching for “note”, it can be replaced with note﹡, note﹡, but not zam﹡a, or ﹡note.

Initially, the search will be carried out in all notes, but you can select a notebook (or tag) and search specifically in this notebook (or among notes with the selected tag).

You can also change the search parameters in the auxiliary search window:

If this window is not there, enable this setting: View -> Search Information.

In this window, you can select the notebooks that should contain the desired note, the tags that should be assigned to the note, etc. As you can see, search in Evernote is very flexible.

But this is just the beginning. In addition to standard search capabilities, there are special operators with the help of which search becomes absolutely magical

Tag operator You can use it to search for notes that have a specific tag. If a tag consists of two or more words, enclose the tag name in quotation marks. For example, the following search:

tag:computer setup

will look for notes that have the label “setting”, and these notes must also contain the text “computer”. To find a note with the desired tag, enter a query

tag:"computer setup"'

notebook operator

Using it, you can search for notes that are in a specific notebook. This is convenient when (for example) you have a lot of notes spread out over a small number of notebooks. And therefore, there are still a lot of notes in each notebook. To speed up your search, narrow your query and specify a notepad.

Of course, you can combine queries. For example:

notebook:idea tag:computer setup

This query will search for notes in the Idea notebook with the label "Customize" and the text "computer".

The notebook operator is used solely for searching notebooks. It can't be used to search through stacks of notebooks. A different operator is used for this:

stack operator

But keep in mind that if you use both the notepad and stack operator, the search will only be carried out by the notepad.

created and updated statements

Using these two operators, you can search for notes that were created or updated on a specific date or date range.

They work as follows: the search date is indicated in the format YYYYMMDD (year, month, day: for example, 20010301 - March 1, 2001).

created:20170301 - search for a note created on March 1, 2020.

updated:20170301 - search for a note updated on March 1, 2017.

This applies to a specific date. For the date range you must use the following combination:

created:20170301 -created:20170303

What do you think this search term means? Looking for notes from the first to the third of March 2020? Yes. Almost. In fact, this search will return all notes created on the first of March and the second of March. Those. all notes that were created BEFORE the third of March.

The same rule applies to the updated operator.

inTitle operator

This operator is used to search for notes whose titles contain specific text. For example, searching for inTitle:idea will find all notes with a title that contains the word “idea.”

If the search guide is hard to understand in text form, watch another video of mine:

Track your time.

One of the most effective productivity systems is the relatively simple (but not necessarily easy) task of recording how you spend your time. Checking email, working on a spreadsheet, attending your sales meeting, even the 15 minutes you spent on Facebook. At the end of the day you will often realize how much time you wasted. There are computer programs that will track time for you, but in our experience they are simply not effective at tracking it specifically enough to mean anything. Download Evernote for Windows to track your productivity by stopping and taking notes on what you just did every 15 or 30 minutes. It may seem like a lot of work, but after a week you will have a clear understanding of how you spend your time.

Book notes.

Download Evernote in Russian to capture your favorite quotes and record comments and questions as you read for AoM Book Club (and for your reading, too, of course!). Create a notebook for notes in a book and use tags to classify fiction, non-fiction, business, classics, hobbies, and more.

We've also come across a brilliant little trick for saving and cataloging any highlights you make through Amazon Kindle devices or apps. When you log into kindle.amazon.com, you can click “your highlights” at the top of the page and view any highlighted passage you've made in any book you've read on any Kindle device or app. You can click on the title of a particular book, view all the highlights and notes made in that book, and either copy/paste them into the utility, or even use a web clipper and have it done automatically. This feature is especially useful for conducting research for college papers or work projects, and even allows you to use long quotations without the hassle of transcription. You can thank us later.

Simplenote

One of my favorite programs for working with texts, which I already wrote about.
There are clients for all platforms: Windows, Linux, macOS, Android, iOS, Amazon Kindle, as well as a web interface.

It is completely free and has a nice minimalistic design.

Can be used exclusively for operations with texts; there are no options for inserting images or attaching files.

There is support for Markdown markup.

In terms of organizing the note base, it only supports tags; there is no sorting by folders/notebooks.

And one more important feature. Simplenote gives the user physical access to his information in open form - at any time you can download a ZIP archive with all your notes in .txt file format.

Gift idea.

If you're like me, you'll come up with a brilliant gift idea for your loved one, write it down on a sticky note, and promptly lose said note in less than a week. Create a notebook with a new note for each family member. Share sheet music for your kids with your wife, your wife with your kids, etc. Bounce ideas from each other, and never lose a good gift idea again. As a bonus, create a list for yourself of things that you would like, share it with your family, and they will never run out of ideas for you.

Organizing your data in Evernote

All data that is placed in Evernote is stored in notes. This can be printed or handwritten text, photographs and audio recordings. All this is stored in notes. One note can contain all this data in any order. You can always edit your note, add new information, or delete something from the old one. All this within one note.

Remember how I used the analogy that Evernote is your personal digital library? Here's a note here - this is a separate book. Each such “book” needs a shelf. Such a shelf in Evernote is a notepad. Of course, a book can only stand on one shelf. And a note can only be stored in one notepad.

Every shelf in this digital library is in a cabinet. Evernote's analogy to a closet is a stack of notebooks (or a stack of notebooks as it used to be called). In general, I think the idea is clear: notes in notebooks, notebooks in sets, eggs in ducks.

The structure is strict and non-negotiable. No matter how much users cursed, demanded and asked, no changes followed. And in general, Evernote management does not listen to users' opinions too often.

However, since this is a digital library, we have features at our disposal that are not available in a regular library: tags. Beginner users often use them incorrectly and insert all the tags that come to mind, or do not use them at all. The first is unnecessary, the second unreasonable.

Using tags, you can filter the notes you need. It doesn't matter what notebooks they are in. Click on the label and get a list of notes with this label.

Now that you have a general idea of how to organize data in Evernote, let's move on to practice. Looking ahead, I will say that due to the behavior of engineers, like the previously shown Raja, who was overwhelmed by a golden antelope, the appearance of Evernote changes with wild constancy. And it's infuriating and annoying.

Therefore, I try to use as few screenshots as possible so as not to be misleading due to the difference with the appearance that will be in a month or a year.

Evernote notes

As I said earlier, notes can store all kinds of information: texts (printed and handwritten), photographs, audio notes and short videos. But keep in mind that there are several restrictions:

The first is the total size of notes downloaded in one calendar month.

For those who use this service free of charge, this is 60 Megabytes per month, for premium users - 1 or 10 Gigabytes (depending on the tariff).

Secondly, the maximum size of one note:

For free users this is 25 Megabytes per note, for users of the premium service - 200 Megabytes.

There are other differences between users who use Evernote on a paid and free basis, but more on those later.

Evernote Notepads and Stacks

You won't be able to create a notepad from your phone; you'll need a computer. File -> New Notepad. Pay attention to the choice of notepad: synchronized or local.

The synchronized notebook exchanges data with the cloud service. They threw information into him, he immediately passed it “up.” If at this time synchronization with another device (for example, a phone) takes place, then information will be sent “down” from these notebooks. That is, Evernote will detect that there are not enough notes on the phone, and it will download it.

The new account will only have one synced notebook. This is what will be used for new notes. If you want to change this, create a new notepad and specify it as the default notepad in the settings. Perhaps screenshots will come in handy here (still, the settings windows do not change with the same constancy and tenacity with which the overall appearance changes).

The maximum number of synchronized notebooks is 250 pieces. Quite a lot, but if you need more categories, this limitation can easily be overcome with tags (and there can be up to 100,000 of them in an account).

A local notepad, unlike a synchronized one, stores information only on the computer. Its contents do not go to the cloud. This can be done if you need to have information at hand, but only at home (or at work). In this case, do not forget to make a backup copy from time to time. You cannot designate a local notepad as the default.

When there are a lot of notebooks, they can be collected into sets. To do this, simply drag one notebook onto another.

Have you changed your mind? Just remove the set. The notebooks themselves will remain unchanged.

I talk about notebooks in detail in my video:

Tags in Evernote

Tags in Evernote are an interesting thing. Each user has their own approach to tags. Some people, as I wrote above, can tag everything, while others don’t use them at all. I advise you to adhere to three simple rules:

  1. Will we use it often or search for it? Add a label. No - leave it without a label.
  2. Create your own rule for label names. Either these will be plural nouns (books, films, shopping) or verbs (read, watch, try). So that you don’t have three different labels “read a book”, “book”, “books” - which mean the same thing.
  3. Start generally and continue to get more specific. A note about a computer program? Add a software tag. Then think, what exactly is in the note? Setting up this program? Add a "Settings" label. Etc.

I talked more about tags in my video:

Shopping list.

Our family goes through endless pieces of paper for meal planning and grocery lists. Create your weekly list, share it with your wife or roommates, and everyone will be on the same page. You can each add items to the list as you think of them rather than risk forgetting and having to make a return trip to the market.

Master food list and journal.

It's a pretty creative idea, if I don't say so myself. When my wife and I try to meal plan (we plan a week at a time), we often have a hard time even remembering what's in our wheelhouse and what we like. What we need is a master list of dishes we've made and enjoyed. Do you see where this is going? Create a list of main dishes, take notes on what parts of the meal went well and what didn't, and never get stuck asking, “what should we eat for dinner?” again.

Fitness/weight journal.

Diet and exercise remain the solution. And for good reason: our beautiful country needs a healthy dose to get our butts off the couch. Unfortunately, most people give up on their resolutions between 45 and 60 days from January 1st (that date is quickly approaching!). To help motivate you, write down your weight, what you ate, and any exercise you did every day. There are many benefits, especially to keeping a food journal; the first of which is that in studies on the subject, people who journal lose almost twice as much weight. And it's free.
